A Shopify app audit should answer three questions: what do we actually pay, what does each app do, and what would break if we changed it? Counting visible widgets is not enough. An app can be essential to stock, fulfilment, subscriptions or reporting without appearing on the storefront.
This checklist helps a store owner prepare an app review without deleting anything. Work with the people who run the shop and fulfil the orders. Treat apparent savings as estimates until the next bills confirm them.
1. Build an inventory that includes invisible apps
Use the Shopify admin's installed apps and sales channels as the starting record. Then ask the store team which services run outside that list. A public storefront scan can identify some frontend scripts; it cannot establish the full installed stack or prove an app is unused.
- Record installed apps, sales channels, custom integrations and externally billed services.
- Name the business owner for each service: ecommerce, warehouse, finance, marketing or customer support.
- Describe the actual job it performs, rather than copying the app's marketing description.
- Mark whether it affects the storefront, Shopify admin, orders, inventory, fulfilment, customer accounts or other systems.
- Ask about seasonal and occasional work. An app that is quiet today may support an annual sale, wholesale order or stock import.
Do not use “I cannot see it on the website” as the reason to remove it. A warehouse connector and tax reporting tool can create business value with no visible widget.
2. Reconcile actual bills, currency and billing periods
Open recent Shopify invoices and the app's billing details, then check the finance records for direct vendor charges. Use a long enough window to catch annual renewals and usage changes. Keep the currency, tax treatment and billing period alongside the amount.
- Separate recurring fees, usage charges, one-off charges and credits.
- Record the next renewal date and any annual commitment. An annual fee divided by 12 is an estimate of monthly cost, not a cancellable monthly contract.
- Check externally billed subscriptions separately; these may not appear on a Shopify invoice.
- Record actual cost at your current order, contact or usage volume. An app's advertised entry price may not match your bill.
- Keep sensitive invoice and customer information private. The working audit only needs the fields needed for a decision.
Shopify's app billing guidance explains billing periods and charges. Pending or current-cycle charges can remain after an uninstall, and directly billed subscriptions need to be checked with the vendor. A reduced app count is not proof of a reduced bill.
Illustrative calculation, not a client result
If an approved cancellation removes an A$60 monthly charge, the modelled annual reduction is A$720 before any applicable tax, replacement costs or one-off implementation work. Record the actual next invoice before describing it as a realised saving.
3. Map what depends on the app
For each candidate, ask what data enters it, what it changes and which people or systems depend on the output. Check configuration and ask the operational owner. An app may share data with an email platform, accounting service, inventory system or a separate store.

Two apps with similar names may serve different workflows. Two apps with different names may overlap. Confirm the requirement and settings before declaring duplication.
4. Make a decision without guessing
- Keep: a required workflow has an owner and evidence that the app supports it.
- Investigate: cost, ownership, usage or dependencies are unclear. Missing evidence means more review, not automatic removal.
- Consolidate: there is verified overlap, and one service can meet the requirement after configuration and testing.
- Replace: a better option has been assessed against the real requirement, total cost and migration work.
- Candidate for removal: the owner confirms it is no longer required and the change plan is approved.
A native Shopify feature may cover a requirement, but check availability, configuration and trade-offs in the actual store. A custom build is also not automatically cheaper; include ongoing maintenance and the people who will support it.
5. Put owner approval and a rollback plan before removal
Before changing the app stack, write down exactly what will change, who approves it and how you will know the store still works. Duplicate the theme for theme work, check the vendor's uninstall guidance, and preserve any data that needs to be retained. A theme copy alone does not restore an app subscription, settings or deleted data.
- Confirm the store, app, account owner, billing arrangement and affected workflows.
- Agree the replacement or removal, a change window, success checks and who can restore the service.
- Review exports, cancellation terms and vendor-specific uninstall steps before executing anything.
- Preview theme changes in an unpublished theme. Test affected product options, search, navigation and cart behaviour.
- Use an explicitly authorised test plan for checkout, payments, subscriptions, customer accounts and transactional messages.
- After the approved change, inspect the real storefront and operational workflow. Check any remaining app code using the developer's instructions.
Shopify's uninstall guidance explains why additional theme cleanup may be needed. Do not delete unfamiliar theme code just because its filename resembles an app. Identify its purpose and dependencies first.
6. Verify the commercial and technical result separately
Check the next relevant invoices, including direct vendor bills. Compare cost using the same currency and billing period, and include replacement costs. Then check the workflows and affected pages. A cheaper stack that stops fulfilment is not an improvement.
- Cost: actual cancelled charge, remaining commitment, new charges, credits and date verified.
- Function: the approved customer and operational checks passed, with an owner.
- Speed: compare the same page, device conditions and real fonts. An app that only runs in the admin may have no storefront performance effect.
- Conversion: measure customer behaviour separately with enough traffic and a stated time window. Removing an app does not automatically increase sales.
